1. Introduction
This manual is prepared in accordance with section 51 of the Promotion of Access to
Information Act, 2000 ("PAIA") and sets out how a person may request access to records held
by Dia-Kim Diamonds cc, trading as Moxie Jewellery ("the Company"). This manual should be
read together with the Company's POPIA Policy, which sets out in more detail how the
Company processes personal information in the course of its business.

5. Categories of Records Held
The Company holds customer records, including personal and contact details, transaction and
purchase history, appointment records, and design specifications and images relating to
bespoke and custom commissions. The Company holds financial records, including invoices and
payment records processed via Shopify and Xero. The Company holds supplier records,
including contracts and correspondence with its suppliers. The Company holds employee
records, including HR and payroll information relating to its staff. The Company also holds IT
and website records, including website usage data, cookies, and communication logs arising
from customer enquiries made via the website, email, WhatsApp or social media, and CCTV
security footage recorded at the Company’s showroom.
6. Records Available without Request
The following records are available without the need to submit a formal request: general
content published on the Company's website (moxiejewellery.com), and marketing material
distributed by the Company.
7. Records Available on Request
Access to records may be requested in respect of client and customer records, transaction and
invoice records, supplier and trade account records, and employment records. Jewellery
designs, including sketches, CAD renders and bespoke design specifications, remain the
intellectual property of the Company and access to such records may be limited accordingly.
The Company will not disclose any record where such disclosure is prohibited under other
legislation, including the Financial Intelligence Centre Act, 2001 (Act 38 of 2001), or where one
or more of the grounds for refusal set out in clause 9 below applies.

8. Request Procedures
Requests must be made in writing using the prescribed PAIA request form (Appendix A) and
submitted to the Information Officer. The Company will respond to a request within 30 days of
receipt. A request fee may apply in accordance with the regulations issued under PAIA, and the
applicable fee schedule is available on request from the Information Officer.
9. Grounds for Refusal
Access to a record may be refused where disclosure would breach POPIA or the FIC Act,
including in relation to cash threshold reports, suspicious or unusual transaction reports, or the
Company's internal anti-money laundering records; where disclosure would compromise
commercial confidentiality; where disclosure would prejudice legal proceedings or the
Company's compliance obligations; or where disclosure would place the Company's intellectual
property at risk.
10. Remedies
If a request for access is refused, the requester may lodge a complaint with the Information
Regulator, using the contact details set out in clause 4 above, or may approach a court of law
for appropriate relief.

This manual is available on the Company's website (moxiejewellery.com) and may also be
requested directly from the Information Officer.
